This role combines executive-facing hospitality and meeting operations with support planning, execution, and post-event optimization for the flagship conference. The role requires project leadership, cross-functional collaboration, vendor management, budget ownership, and hands-on onsite execution. This position requires up to 10% travel. Location: This is a hybrid role based in our Sunnyvale HQ, 4 days a week. Key responsibilities: Account & Executive Meeting Management Serve as primary coordinator/concierge for executive and account meetings; manage guest experience from arrival to departure. Handle room bookings, catering, transportation, lodging, agendas, materials, and vendor coordination. Troubleshoot A/V and briefing platform issues; track expenses and visitor activity. Liaise with Executive Assistants, account managers, and stakeholders to ensure that meeting objectives are met. Global Events Content & Production Own content, speaker management, run-of-show, and rehearsal coordination. Project-manage cross-functional stakeholders (PMM, product, sales, comms, brand, web) to meet deadlines and deliverables. Manage content processes and the CMS to ensure accurate event information. Coordinate A/V, room setups, tech rehearsals, legal approvals, promotional materials, and post-event reporting. Project Management & Collaboration Maintain calendars, timelines, status reports, and stakeholder communications. Train and guide session leads on deliverables and best practices. Track budgets, vendor contracts, and event performance metrics. Qualifications: Significant experience in event management, including executive/account meetings and multi-session conferences. Proven experience with speaker programs, content, and event production. Strong project management and cross-functional collaboration skills. Executive presence and excellent written/verbal communication. Technical aptitude with A/V, event platforms, and CMS; budget and vendor management experience. Highly organized, detail-oriented, proactive, and customer-focused. Experience in meeting management tools such as Jifflenow #LI-AN2 Why Proofpoint? Base Pay Ranges: SF Bay Area, New York City Metro Area: Base Pay Range: 123,200.00 - 193,600.00 USD California (excludes SF Bay Area), Colorado, Connecticut, Illinois, Washington DC Metro, Maryland, Massachusetts, New Jersey, Texas, Washington, Virginia, and Alaska: Base Pay Range: 102,300.00 - 160,820.00 USD All other cities and states excluding those listed above: Base Pay Range: 92,100.00 - 144,705.00 USD
