Job DescriptionPosition SummaryThe Administrative Assistant for the FSQ Department provides administrative, clerical, and organizational support to ensure smooth day‑to‑day operations. This role supports FSQ supervisors, technicians, and management by coordinating and maintaining records, managing communications, and compliance documentation.Key ResponsibilitiesAdministrative & Clerical SupportPrepare, maintain, and update departmental documents, reports, and spreadsheets.Handle emails, and internal requests related to FSQ activities.Maintain organized filing systems—digital and physical—for data analysis, and compliance documents.System ManagementEnter, track, and summarize data in the establishment software program.Monitor noncompliance reports and CAPA’s and notify supervisors of CAPA requests.Generate weekly and monthly performance reports (e.g., failures, non-compliances, and performance to standard).Purchasing & Inventory SupportInitiate inventory monitoring, and create reports for purchasing of new supplies.Work with vendors to obtain pricing and tracking of deliveries.Support inventory control by monitoring stock levels and verifying incoming materials.General Department SupportAssist supervisors and the FSQ Manager with administrative tasks and project support.Help maintain communication between maintenance, operations, and other departments.Support continuous improvement initiatives and department workflows. The work environment is a plant/office setting with varying degrees of temperatures and noise levels. Exposure to manufacturing equipment movement and wet/slippery floors. However, the vast amount of work is conducted in a climate-controlled office. Travel may be required.
